Getting Started
Section titled “Getting Started”Q: Does FastQuery replace my POS? A: No. FastQuery sits alongside your POS — your POS is still the system of record for inventory, pricing, and transactions. FastQuery reads from your POS on a schedule and gives your team a faster, AI-powered way to look things up, count, and communicate. Transactions, price changes, and core inventory edits still happen in your POS.
Q: What devices does FastQuery support? A: FastQuery works on iOS and Android phones (including Zebra enterprise devices), plus any modern web browser for the web dashboard. Use the mobile app on the floor and the web dashboard at your desk.
Q: How do I reset my password? A: FastQuery uses sign-in providers like Google, Microsoft, Yahoo, and Apple. To reset your password, go to your provider’s account settings page and reset it there. FastQuery doesn’t store passwords directly.
Q: Can I use FastQuery on multiple devices? A: Yes! Sign in on as many devices as you like — your phone, a shared store tablet, your home computer, whatever works. Your data syncs across all of them automatically.
Q: What happens if I lose internet connection? A: The app will display an offline banner at the top of the screen. You’ll need an internet connection to use FastQuery since it relies on real-time data from your inventory system and the AI assistant. Reconnect to Wi-Fi or cellular data to get back up and running.
AI Assistant
Section titled “AI Assistant”Q: How accurate is the AI’s inventory information? A: The AI pulls directly from your live inventory data, which syncs from your POS system. It’s as accurate as your most recent sync. You can check the web dashboard to see exactly when your data was last updated.
Q: Can the AI make mistakes? A: FastQuery is highly capable — it answers inventory questions accurately, creates tasks and posts on your behalf, and understands natural language including voice input. That said, no AI is perfect. For high-stakes decisions like large orders or customer commitments, verify the details directly. You can provide feedback on any response to help improve results over time.
Q: Does the AI learn from my conversations? A: No. The AI does not train on your conversations. Your data is private and secure. The AI uses your inventory and product data to answer questions, but your conversations are not used for model training.
Q: Can I undo something the AI created? A: Yes. Tasks and posts created by the AI can be edited or deleted just like anything you create manually. Nothing the AI does is permanent or irreversible.
Q: Can the AI do something on a schedule without me asking each time?
A: Yes — that’s an automation. Describe a recurring job in chat (“every morning, post today’s tasks to the newsfeed”), approve the schedule and the actions it’s allowed to take, and FastQuery runs it in the background, emailing you the result each time. Languages
Section titled “Languages”Q: What languages does FastQuery support? A: The AI assistant understands and replies in English, Spanish, French, Chinese, Japanese, and Russian — both by voice and by text. The app’s interface itself is English-only. See Asking in Other Languages for details.
Inventory
Section titled “Inventory”Q: How often does inventory sync? A: This depends on your POS integration. Acceo syncs once daily; Epicor Eagle syncs partial updates roughly hourly during business hours and a full sync at least once a day. Admins can see the exact last-sync time on the Admin Dashboard.
Q: Where do I check when inventory was last synced? A: On the web dashboard’s ERP Status section (admins) or the Integrations page. If you’re not an admin, ask your admin to take a look. Sync runs on a fixed schedule — there’s no user-triggered manual sync.
Q: A product has the wrong name, description, or photo — can I fix it in FastQuery? A: For products synced from your POS, no — name, description, classification, pricing, and stock come from your POS and the sync is one-way. Fix it in your POS and the correction flows to FastQuery on the next sync. The exception is the enriched description and photo FastQuery generates when you create a product from photos — that lives in FastQuery, isn’t overwritten by POS sync, and can be regenerated by running the photo flow again.
Q: Why is a product showing the wrong quantity? A: Inventory data comes from your POS system. If quantities seem off:
- Check your POS first to make sure recent transactions were recorded.
- Check the Admin Dashboard for the last sync time. If the sync is older than expected, the discrepancy may resolve after the next scheduled sync.
- If sync errors are showing on the Integrations page, contact your admin or FastQuery support.
Q: Can I assign a task to multiple people? A: Yes — and you’ll be asked whether everyone shares one task (completed once, together) or each person gets their own copy (completed individually). Edits to a copy’s details update all the copies; completion stays individual. See Assigning More Than One Person.
Q: What’s the difference between a project and assigning copies to several people? A: Copies hand the same task to several people, each finishing their own. A project collects different tasks under one initiative — like a season reset — so you can filter and track them together. See Projects.
Q: I was off yesterday — how do I catch up on what I missed? A: Open your Inbox: the first item in the Tasks menu on mobile, or the Inbox entry in the web sidebar. Every task notification lands there and waits for you — even ones that never reached your phone. See The Notification Inbox.
Q: What happens when a recurring task isn’t completed? A: When the next instance is created and the previous one is still open, that previous task is marked Missed — a final state that keeps it visible in history rather than deleting it or pretending it was done. If a schedule racks up 10 missed occurrences in a row, it pauses itself and notifies whoever created it, so a dead routine stops piling up tasks. Auto-pause is reversible: resume the schedule from the Recurring Tasks screen and the miss streak resets. See Recurring Tasks.
Q: Can I create tasks from the web app? A: Yes. The web dashboard supports full task creation and management — including assigning team members, setting due dates, adding descriptions, and attaching photos.
Q: How do I see what the team got done today? A: Just ask the AI — for example, “What did the team finish today?” or “Show me everything completed this week.” The AI summarizes completed tasks, who did them, and recent activity. You can also browse the Closed Tasks list in Tasks or watch the Newsfeed for live system events.
Q: Why didn’t I get a notification, and how do I stop getting them after hours? A: Notifications follow your work schedule — anything generated while you’re off shift is held until your next shift, so set your hours by editing your work schedule, and keep the “snooze when I’m not on a shift” option checked to avoid off-hours pings. To stop all push notifications, set the Notifications toggle on the mobile app’s Settings screen to Muted. See Notifications for details.
Account & Billing
Section titled “Account & Billing”Q: How do I change my role? A: Only admins can change user roles. If you need your role updated, ask your organization’s admin to make the change from the admin panel on the web dashboard.
Q: Can I switch between facilities? A: Yes. If your organization has multiple facilities, tap the facility name at the top of the Chat tab (mobile) or use the facility selector in the web dashboard to switch your active facility. The AI answers from that facility’s inventory, and your tasks and newsfeed switch over too. Conversations are kept separately per facility. See Mobile App Overview.
Q: Does FastQuery detect my facility automatically (GPS)? A: No. The active facility is selected manually. Your admin chooses which facilities you have access to; you switch among them yourself.
Q: How is billing calculated? A: Each store is billed separately based on its tier: Small, Medium, or Large. Tiers are determined by your inventory size and number of users. Your admin can view billing details on the web dashboard.
Q: Is there a free trial? A: Yes! New organizations get a 30-day free trial with full access to all features. No credit card required to start.
Privacy & Security
Section titled “Privacy & Security”Q: Is my data secure? A: Yes. FastQuery uses industry-standard security practices including encrypted connections (TLS), secure authentication through OAuth providers, and SOC 2 compliance measures. Your data is protected at every level.
Q: Who can see my conversations with the AI? A: Your conversations with the AI assistant are private to you. Other team members and admins cannot see your chat history.
Q: Can I export my data? A: Yes. Inventory data can be exported from the inventory grid on the web dashboard. Use the export option to download your data in a standard format.
